Conference Guidelines for Authors & Participants
Welcome to the official portal for the conference. To ensure a smooth process, please read the following guidelines carefully before you begin.
The conference registration fee provides comprehensive access to the full event schedule. This includes entry to all technical sessions, as well as catered lunch and refreshment breaks on both Saturday and Sunday. Additionally, all registered attendees are cordially invited to our Welcome Reception. Please be advised that a Goods and Services Tax (GST) of 18% will be calculated and added to the total fee upon final checkout.
N.B.: Please be advised that the Goods and Services Tax (GST) is waived for all students and faculty members registering from the Indian Institute of Technology (BHU) Varanasi.

REGISTRATION GUIDELINES
1. Abstract Submission
This process is for individuals who wish to present their research (oral or poster) at the conference.

Who Should Submit: All prospective presenters, including students, postdoctoral fellows, faculty, and industry researchers.

How to Submit: On the main page of the Virtual Registration Desk, select the "Submit an Abstract" option. You will be directed to a form to enter your details and upload your file.

For Oral Presentation

Prepare and upload your abstract via the online portal in the specified file format.

Ensure you check the "Opt-in for Young Scientist Award" box to be considered for an oral presentation slot.

For Poster Presentation

Submit your abstract as a PDF or DOC file through the designated submission form.

To be considered for a poster presentation, please ensure to left unchecked the "Opt-in for Young Scientist Award" checkbox.

Abstract Format:

File Type: Please upload your abstract as a .pdf, .doc, or .docx file.

Content: The abstract should be a concise summary of your research, typically between 250-500 words.

Template: All submissions must follow the prescribed format. Please download and use the official abstract template available here.

Review Process: All submissions will undergo a peer-review process by our scientific committee. You will be notified of the decision via the email address you provide.

Acceptance Notification: If your abstract is accepted, you will receive a unique acceptance code in your notification email. This code is required to register as a presenter.

2. Registration Process
Registration is mandatory for all participants, including presenters and attendees.

A. For Accepted Presenters
Once you have received your unique acceptance code via email, please follow these steps:

On the portal's main page, select the "Register (Accepted Presenter)" option.

Enter your unique code when prompted to unlock the registration form.

Fill out the detailed registration form**. Please note that the "Accompanying Guest" category is not available for presenting authors; guests must register separately as attendees.
B. For Attendees Only
This path is for participants who will not be presenting research, including industry personnel and accompanying guests.

On the portal's main page, select the "Register (Attendee Only)" option.

You will be taken directly to the registration form**.

Please select your appropriate participant category. All registration options are available through this path.

During the registration process, the applicable fee amount will be displayed once you select your role.

3. Registration Fees & Deadlines
The regulated Registrations fees are mentioned above. We offer discounted rates for early registration. All fees are inclusive of 18% GST.
